Job Summary:

As a Portfolio Leasing Coordinator, you will play a crucial role in servicing one of Tenant CS's highest profile new national clients. You will be part of a small but high-performing team based in Melbourne, with frequent interactions with your colleagues in Sydney. Your primary responsibility will be to manage lease renewals across a large portfolio of sites across the eastern seaboard.

While a significant portion of your time will be devoted to reviewing and negotiating commercial terms, establishing a good rapport with key stakeholders such as clients, landlords, and solicitors is crucial for achieving success. In addition to lease management, you’ll also lean in to assist our Melbourne advisory team who oversee end to end real estate consultancy projects to businesses.

Key Responsibilities:

Portfolio Leasing Coordination (80%): As the new Portfolio Leasing Coordinator you’ll spend the bulk of your time servicing one of Tenant CS’s high profile new national clients. This includes:

  • Client relationship management
  • Management of leasing transactions, including renewals and licenses
  • Project tracking and reporting - you’ll consistently maintain a detailed database providing a clear overview of project activity and progress
  • Negotiation of terms within approved parameters to achieve optimal results and tenure
  • Liaise with client's solicitors to facilitate the preparation and finalisation of appropriate lease and license documentation
  • Responsibility to validate and manage critical data
  • Escalate difficult landlord matters and disputes to the appropriate management
  • Respond to day-to-day correspondence

Project Support Coordinator (20%): In addition to lease management, you’ll also lean in to assist our Melbourne advisory team who oversee end to end real estate consultancy projects to businesses. While there are team assistants, analysts and virtual assistants that already support this team (and you), your role might include:

  • Providing tactical support by liaising with agents;
  • Organising and facilitating property inspections; and
  • Developing proposals, financial analysis, property comparison reports and presentations to help win business.

Skills & Experience:

Our ideal candidate will have:

  • Experience in commercial real estate (ideal but not essential)
  • Strong interpersonal skills to build rapport and influence
  • Experience in negotiation, client service or key account management
  • An eye for detail, process, time management, and organisation
  • Be able to thrive in both autonomous and collaborative work environments, always approaching their work proactively and with an entrepreneurial and growth mindset.
  • The motivation to pick up the phone, professional etiquette while negotiating with our key-client’s tenants, and the drive to close deals (and enjoy celebrating wins!).
